1. Privacy policy statement

This privacy policy is OSKA Education’s statement of principles about how we use, store and protect your personal information. It also explains how we use cookies. While it is not a legally binding agreement, we promise to hold to the principles in this statement. We respect your right to privacy and will only process personal information you provide to us in accordance with the Data Protection Act 1998, the Privacy and Electronic Communications (EC Directive) Regulations 2003 and other applicable privacy laws. If we change our policy at any time, we will let you know what we’ve changed and why.

By choosing to access our website or the OSKA platform, you agree to the terms of the privacy policy in effect from time to time.  If you have any questions about our policy or how we use your data, please feel free to get in touch by email using admin@oskaeducation.com


2. Who we are

Our websites and the OSKA Platform are operated by OSKA Education Ltd. OSKA Education Ltd is a company limited by shares registered in England and Wales under company number 10176581, with registered office address at 7th Floor, Dashwood House, 69 Old Broad Street, London, EC2M 1QS. It is registered with the Information Commissioner’s Office under registration number ZA198546.


3. What information we collect, how we process it, and why

The information we collect, how we process it, and why we do what we do, depends on whether you have applied to be a teacher, assistant, or school user on the OSKA Platform, or whether you are simply browsing our websites. You should read the section or sections relevant to you below.


4. Teachers and Assistants 

If you are, or are applying to be, a member of the OSKA Platform, as a teacher or an assistant, then this section explains the type of personal information we collect about you and how we may store, use and disclose your information. 

a. What we collect and how

For all applicants who apply to become teachers or assistants, we collect the following:

i. Information about you which includes personal data such as, but not limited to, your name, date of birth, phone number, email address, residential address, next of kin, National Insurance number, gender, Right to Work status, employment history, education history, qualifications, and bank account information.

ii. If you nominate to use a company, information about the company, such as its name, registration number, bank account information, confirmation of directors, and directors email addresses.

iii. Information about your use of our services, including your IP address, username and to access the OSKA Platform.

It is important that you understand that in applying to become a teacher or an assistant on the OSKA Platform, and nominate to use a company, you are confirming that you have all necessary consents of any other directors.

We collect information when you first apply to become a teacher or an assistant on the OSKA Platform, and then continuously for so long as you remain active on the Platform. We will collect information about you from data you provide to us through the website, the OSKA Platform, by email, by telephone and by post. We also collect information from publicly available sources such as the Registrar of Companies, and from referencing and fraud prevention agencies.

b. How we use your information

We (or third party data processors, agents and contractors acting on our behalf) will collect, store and use your personal information for the following purposes:

i. to assess your application to become an Active teacher or assistant, including your suitability.

ii. to verify your identity in order to prevent and detect crime.

iii. to provide and administer your OSKA Profile with us and update the records we hold about you from time to time.

v. to carry out regulatory checks.

vi. to carry out reference checks.

vii. to report earnings as required by law to HM Revenue & Customs or any other relevant taxing authority.

viii. to carry out statistical analysis and market research in order to develop and improve our services and products.

If you give us false or inaccurate information, either directly or through an agent, and we suspect or identify fraud, we will record this and details will be passed to fraud prevention agencies. Use of your information by these agencies is not covered by this privacy policy. 

In addition to using your personal information as set out above, we may also collect anonymised details about your use of the website for the purposes of aggregate statistics or reporting purposes. However, no single individual will be identifiable from the anonymised details we collect or disclose for these purposes. 

c. What referencing and fraud prevention agencies do

When referencing agencies receive a search from us they will:

i. search their own databases to confirm your identity through an electronic footprint.

ii. search their own databases to confirm the validity of your Right to Work document.

iii. create a record of your name and address if there is not one already.

iv. contact your nominated referees, and disclose your name and work history to validate any claims made within your application.

Reference agencies supply the following information to us:

i. confirmation or otherwise of your identity.

ii. confirmation or otherwise of your Right to Work status.

iii. electoral register information on you.

iv. fraud prevention information on you.

The referencing agents we currently use are Experian Limited, and Onfido Ltd, and their nominated affiliates.

 

5. Schools and School Users

If you are or are applying to be, a member on the OSKA Platform as a school user, then this section explains the type of personal information we collect about you and how we may store, use and disclose your information. 

a. What we collect and how

For all applicants who apply to be school users, we collect the following:

i. Information about your School, such as your School’s name, activities, address, telephone number and school specific risks.

ii. Information about the relevant contacts, and persons of significant control – which includes personal data such as names, phone numbers, email addresses, and position titles relating to any of them.

iii. Information about your use of our services, including your IP address, usernames and passwords used to access the OSKA Platform.

It is important that you understand that in applying to become a school user, you are confirming that you have all necessary consents of your appropriate decision makers to disclose information to us.

b. How we use your information

We (or third party data processors, agents and contractors acting on our behalf) will collect, store and use your personal information for the following purposes:

i. to provide and administer your OSKA Platform profile with us and update the records we hold about you from time to time.

ii. as required by law, to report to HM Revenue & Customs or any other relevant taxing authority.

iii. to carry out statistical analysis and market research in order to develop and improve our services and products, and to identify our products or services which may be of interest to you.

iv. unless you have opted out, to contact you about any of our products and services which we believe may interest you.

v. where you have specifically consented, to disclose your personal information to carefully chosen third parties so that they may contact you (including by SMS and e-mail) with products and services which they think may interest you.

If you give us false or inaccurate information, either directly or through an agent, and we suspect or identify fraud, we will record this and details will be passed to fraud prevention agencies. Use of your information by these agencies is not covered by this privacy policy.

In addition to using your personal information as set out above, we may also:

i. collect anonymised details about your use of the website for the purposes of aggregate statistics or reporting purposes. However, no single individual will be identifiable from the anonymised details we collect or disclose for these purposes. 

Any or all of the information uses set out above may be automated and may involve the transfer of your information to other countries including those outside of Europe.  We will always take steps to ensure that such transfers comply with applicable privacy laws.


6. Cookies

The OSKA Education website (and OSKA Platform, referred to below collectively as our ‘website’) use cookies to collect information about you. If you use our website, then you accept that we can use the cookies as set out below.

a. What are cookies and why do we use them?

Cookies are small data files which are placed on your computer by this website and which collect certain personal information about you.  Cookies enable us to tailor our service offering (including the websites) and to provide you with a better service.

b. What cookies do we use?

We use the following cookies:

i. Strictly necessary cookies. These are cookies that are required for the operation of our website. They include, for example, cookies that enable you to log into secure areas of our website. They do not gather information about you that could be used for marketing purposes or remembering where you have been on the Internet.

ii.  Analytical/performance cookies. They allow us to collect information about how you use our website, such as, how you move around our website and if you experience any errors. These cookies do not collect any information that could identify you; all of the information collected is anonymous and is only used to help us improve the way our website works, understand what interests our users, and measure how effective our advertising is.

iii. Functionality cookies. These are used to recognise you when you return to our website. This enables us to personalise our content for you, greet you by name, remember your preferences and improve your visit.

iv. Targeting cookies. These cookies record your visit to our website, the pages you have visited and the links you have followed. They are linked to services provided by third parties, such as “Like” and “Share” buttons. The third party provides these services in return for recognising that you have visited our website.

Generally, cookies which are strictly necessary for the operation of the website will expire when you leave the website. Other cookies may be more permanent or not expire unless you actively delete them.


7. Security

Whilst we take appropriate technical and organisational measures to safeguard the personal information that you provide to us, we accept no liability if communications are intercepted by third parties or incorrectly delivered or not delivered.  Where possible, we recommend transferring information directly to us using the functionality provided on the website instead of by email.

If we transfer your information to third parties we will take steps to ensure that such transfer and any on-going processing by such third parties is carried out securely and in accordance with applicable privacy law.


8. Your rights 

You have the following rights:

i. The right to ask us to provide you with copies of personal information that we hold about you at any time, subject to a fee specified by law (currently £10);

ii. the right to ask us to update and correct any out-of-date or incorrect personal information that we hold about you free of charge; and

iii. the right to opt out of any marketing communications that we (or any third party to whom we have disclosed your personal information with your consent) may send you.
